Printers for Purchase Orders and Warrants

Escape software allows for a great deal of customization of forms for printing purchase orders, bill warrants and payroll warrants. Limitations are primarily the result of data field and data entry form requirements of the program. Additional limitations are imposed by the type of form used. This document describes limitations and requirements for purchase orders, bill warrants, and payroll warrants, with an emphasis on printer requirements. Details of requirements for form setup are not covered here.

Requirements for Purchase Order Printing

Escape prints purchase orders on pin-fed multi-part forms or single sheet laser forms. Setup for form printing is based primarily on line item information from the purchase order record. Because several fields must be printed in the line item area of the purchase order, more than 80 columns of width are required of the printer.

Dot Matrix Printer Requirements

Printing purchase orders on pin-fed multi-part forms requires the use of an impact printer, usually a dot matrix printer. Although many dot matrix printers are available, Escape requires the following characteristics:

  • Wide Carriage - capable of printing more than 80 columns of print at 10 pitch.
  • Forms Capability - ability to handle multi-part forms, up to the number your form includes.
  • Letter Quality - option to set the printer to print in letter quality mode.
  • High Speed - since you will print many purchase orders, a quality printer is required.
  • Tractor Feed - pull tractors are best. Some printers have dual tractor options.

We currently recommend the Epson DFX5000 and DFX8000 printers. They have all of the above characteristics. You must also have a printer stand that accommodates feeding and stacking the forms during printing, and connection to your network, so all desired users can access the printer.

Laser Printer Requirements

Printing purchase orders on laser forms requires the use of a laser printer. We highly recommend the HP Laserjet printers. If your printer is not a Hewlett Packard, it must have HP emulation. Required characteristics are:

  • Network Interface - ability to attach to your network. Avoid switch boxes.
  • HP Emulation - must absolutely emulate the HP Laserjet printer.
  • 66 Lines Per Page - must be able to print 66 lines per page.
  • High Speed - minimum 17 pages per minute.
  • Dual or High Capacity Paper Trays.

We are currently recommending the HP 4000, 6000, 8000 Laserjet printers. The HP 5si printer also works well. Purchase the internal network interface option.

NOTE: If you will be printing magnetic check numbers on blank check forms, a special printer is required.

Requirements for Warrant Printing

If you have Escape Finance or Escape Payroll, you will print warrants, generally called Bill Warrants (for vendor payments) and Payroll Warrants (for employee checks). Generally, the printer requirements are the same for these two processes, although in most cases, the volume is higher for Payroll Warrants. As with purchase orders, you may print warrants on either impact or laser printers.

Impact Printer Requirements

Because of the volume of warrants you will print, you may want to consider a line printer over a dot matrix printer. Printronics makes a number of high quality, high speed line printers that work well. If a dot matrix printer will suffice, the Epson DFX8000 works well. Required capabilities are the same as described above in the section on purchase order printing.

Laser Printer Requirements

Printing warrants on laser printer forms demands the highest speed possible. We recommend the Hewlett Packard 8000. If you will use third party software to print on plain forms, be sure your printer is compatible with that software.

Before Buying Any Printer...

Before you purchase any printer for printing purchase orders or warrants, do the following:

  • Call Us - to see if we have experience with the printer.
  • Test Drive - ask the vendor for a trial of the printer, to insure that it will work.
  • Get a Guarantee - in writing from the vendor, insuring that you can exchange the printer if it will not meet your needs.
